What is Shortwave?

Shortwave is an AI-powered email client for Gmail developed by Shortwave. It belongs to the Email Writing category and is designed to help people get more done with less effort. Its main strengths are AI email search, write in your voice and summaries.

The tool is available on Web, macOS, iOS and Android and uses a freemium pricing model with paid plans starting at $9/month. It focuses on a clean, ready-to-use experience rather than developer tooling. You can learn more on the Shortwave official website.

How Does Shortwave Work?

AI writing tools use language models to generate, rewrite and improve text. You provide a topic, outline or draft, choose a tone and format, and the tool produces copy that you can edit. Many also check grammar, adapt brand voice and optimise content for SEO.

In practice, working with Shortwave follows a simple loop. You start with a clear instruction or input, let the AI produce a first draft, and then iterate. The more context you provide, such as your audience, tone, format or examples, the better the output becomes. Over time you can save your best settings and reuse them to keep results consistent.

Behind the scenes, the provider continuously improves the underlying models, safety filters and infrastructure. That is why results can get noticeably better over time without you changing anything. It also means that output may vary slightly between runs, so it is normal to generate a few versions and pick the best one.

• Input: describe the task, paste text, upload files or pick a template.
• Processing: the AI model analyses your request and applies its AI email search capabilities.
• Output: you receive a ready-to-review result within seconds.
• Refinement: adjust, regenerate or edit until the result fits your goal.

Key Features of Shortwave

Here are the most important features that make this tool stand out from other AI writing tool options, and how each one helps in practice.

AI email search

AI email search sits at the core of the experience. It helps you move from idea to finished result in minutes instead of hours, and it is simple enough for beginners while still offering the control that experienced users expect. Most people start with this feature on day one, and it quickly becomes the part of the workflow they rely on most.

Write in your voice

With write in your voice, the tool takes over a large share of repetitive manual work. You describe what you need in plain language, review what the AI produces, and refine it until it fits your goals and your style. This keeps you in control of the final result while the AI handles the heavy lifting.

Summaries

The summaries capability is one of the reasons people pick this tool over a generic AI writing tool. It is tuned for real-world workflows, so the results need less cleanup and are ready to use sooner. That matters when you are producing work at scale or sharing it with clients and colleagues.

Bundles

Bundles is especially useful when you are working against a deadline. Instead of starting from a blank page, you get a strong first version that you can quickly adjust, compare and improve. Over time this saves hours every week and reduces the stress of tight turnarounds.

Scheduling

Thanks to scheduling, teams can keep their work consistent. Settings and outputs are easy to reuse, which makes it practical to scale the same quality across many projects, people and channels without reinventing the process every time.

Integrations and Workflow

Beyond the headline features, the product is designed to fit into an existing workflow. Results can be copied, exported or shared in common formats, and the interface keeps recent work easy to find, so you can pick up where you left off. As the product evolves, new integrations and quality-of-life improvements are added regularly, which is worth keeping in mind when you compare it with older or less actively developed alternatives.

Together, these features cover the full workflow from first idea to finished result. You do not need to use all of them at once: most people start with one or two core features and gradually adopt the rest as their confidence and needs grow.

Different people get value from this tool in different ways. These are the most common real-world use cases we see, grouped by the type of user. If your work fits one of these groups, you are likely to see a quick return on the time you invest in learning it.

How to Get Started

Getting started with Shortwave takes only a few minutes. Follow these steps:

1. Visit the official website and review the features, plans and any usage limits that apply to you.
2. Create a free account or sign in with Google, Apple or your work email.
3. Choose the plan that fits your needs. The free option is enough to test the core features.
4. Start your first project using AI email search and give the AI clear, specific instructions, including your goal, audience and preferred format.
5. Review the output carefully, then refine it with follow-up instructions or manual edits. Small, specific corrections usually work better than starting over.
6. Save your favourite settings or templates so you can repeat good results quickly.

Shortwave Pricing Plans

Shortwave uses a Freemium pricing model. Paid plans start at around $9/month. Prices can change and may vary by region, so always confirm the latest details on the official pricing page before you buy.

To get the best value, start with the free or entry-level option and upgrade only when you regularly hit the limits. Annual billing is usually cheaper than paying monthly, and many vendors offer discounts for students, non-profits and teams. If several people need access, compare the per-seat price of team plans with individual subscriptions.

Shortwave Alternatives

If this tool is not the right fit, these are the best alternatives in the same category. Each one has a slightly different focus, so compare features and pricing before you choose.

In short, Lavender is an AI email coach for sales teams; Mailmodo AI is an interactive email marketing with AI writing; Flowrite is a turn short instructions into ready-to-send emails. The best way to decide is to run the same task through two or three options and compare the results, speed and cost.

Who Should Use It?

This is a strong choice if you need AI email search and write in your voice and you want to start without paying upfront. It is a great fit for students, professionals, marketers and businesses. If you need a fully offline solution, very strict data control or highly specialised features, compare it carefully with the alternatives above.

Best for

• People who need AI email search and write in your voice on a regular basis
• Beginners who want to try AI without paying upfront
• Users who prefer a ready-to-use app with no setup

Not ideal for

• Tasks that require guaranteed, fact-checked accuracy without human review
• Organisations that must keep all data fully offline
• Anyone who only needs this kind of tool once or twice a year

How to Choose the Right Tool

Before you commit to any AI writing tool, it helps to know what to compare. Use this checklist to evaluate this tool and its alternatives side by side, ideally by testing each one on the same real task from your own work.

• Decide whether you need long-form articles, short copy or editing help.
• Check support for brand voice and style guides.
• Look for built-in plagiarism and SEO checks if you publish online.
• Make sure the tool supports the languages you write in.
• Prefer tools with integrations for Google Docs, WordPress or your CMS.
• Always fact-check and add your own expertise to AI drafts.

There is rarely a single best tool for everyone. The right choice depends on your budget, the quality you need, the apps you already use and how often you will use it. A tool you use every day is worth paying for, while occasional tasks are often covered by a free plan.

Tips for Better Results

The quality of AI output depends heavily on the quality of your input. These practical habits consistently lead to better, faster results:

• Give context: explain who the result is for, why you need it and what a great outcome looks like.
• Be specific: include the format, length, tone or style you want instead of leaving it to chance.
• Show examples: share a sample you like so the AI can match it more closely.
• Work in steps: break big tasks into smaller requests and build on each result.
• Iterate: ask for variations, then combine the best parts rather than accepting the first answer.
• Review everything: check facts, numbers and names before you publish or share the result.

Common Mistakes to Avoid

New users often make the same few mistakes. Avoiding them will save you time, money and frustration:

• Paying for the biggest plan before testing whether the free or entry plan is enough.
• Using vague one-line instructions and then judging the tool on weak results.
• Publishing AI output without checking it for accuracy, tone and originality.
• Uploading confidential or personal data without reading the privacy policy.
• Ignoring integrations and templates that could automate repeated work.

Security and Privacy

Security and privacy matter whenever you share information with an AI service. Reputable vendors publish clear privacy policies and offer settings to limit how your data is used. Before uploading sensitive material, check how long data is stored, whether it may be used to train models, and whether business plans offer extra controls such as single sign-on, admin permissions and data retention settings.

As a rule of thumb, never share passwords, payment details or other people’s personal information with any AI tool, and use a business plan when you work with client or company data.
